Export the submitted results of a form to a CSV file so you can review, filter, or share the data outside Assignar, for example in Excel or Google Sheets.
Before you start Export is only available after you select a specific form type. You cannot export results across multiple form types in one file. |
How to export form results to CSV
- Go to Field Data > Forms. You land on the Form Results tab.
- Select the form you want from the form dropdown at the top left. The Export option only becomes available once a form is selected.
- Set what the export should contain using the controls along the top (all optional):
- Questions: choose which columns and form questions to include, and drag them into the order you want. Click Apply.
- Filter: build one or more filters by Question, Operator, and Value (for example, Name of worker Is Not Blank). Click Apply Filter.
- Date range: pick a preset (Today, Last 7, 14, 30, or 60 Days) or set a Custom range.
- Assigned To: limit to specific users or Unassigned.
- Status: tick one or more statuses, for example Completed.
- Questions: choose which columns and form questions to include, and drag them into the order you want. Click Apply.
- Click Export, then click Export to CSV. The file downloads with the columns, order, filters, date range, and sort you have set.
How question groups appear in the CSV
Each question in a group becomes its own column, for example 2.1 Name of worker and 2.2 Signature. On the dashboard, the group sits behind a Show Responses link, but in the CSV every response adds a new row:
Five workers in attendance means five rows. The submission's shared details (ID, dates, status, client, project) appear only on the first row; continuation rows are blank in those columns and tie back through the marker in the group column, such as "ID 150, Question 2, Response 3". An empty response still creates a row.
Heads up Set your sort, filters, and columns in Assignar before exporting. If you re-sort the CSV afterwards in Excel or Sheets, the blank continuation rows lose their link to the submission they belong to. When a submission has more than one question group, responses that land on the same row across different groups are not related to each other. Each group is simply stacked from the top, and the group with fewer responses is blank on the extra rows. |
Things to know
- The CSV reflects exactly what is on screen: the columns and order from Questions, plus any Filter, Date range, Assigned To, and Status selections. Set these before exporting.
- Images, attachments, and signatures are not included in the CSV (the Signature column shows "Signature Attached", not the image). To keep the visuals, print the form to PDF instead.
- Export handles one form at a time. Run a separate export for each form you need.
- Reuse a setup by saving your columns and filters as a view with Save View, then reopen it from the My Views tab.
