Enabling Automatic Notifications on the Scheduler
Enabling the automatic notification setting on the dashboard ensures that scheduling updates from the Timeline are automatically sent to workers. This saves you from manually sending updates, making communication more efficient.
- Automatically alert workers they've been assigned to a shift!
- Automatically alert workers they've been removed from a shift!
Automatic Notification Setting
- Toggling the bell icon to ON: This automatically delivers job assignment / removal notifications to workers
-
Toggling the bell icon to OFF: Automatic notifications are not sent. You can schedule freely and decide to manually notify workers about job assignments.
- Note: There is no way to manually notify a worker they've been removed from a shift. Automatic notifications is the only way to alert a worker that they've been removed from a shift.
Additional Details about Automatic Notifications
- Notifications will not be sent if you've assigned a worker to a shift that has already started or if the day is in the past.
- Notifications will only be sent for orders that are in 'In-Progress' or 'Confirmed' statuses.
- Push Notifications are available for iPhone and Android
Manual Notifications for Scheduling Updates
Manual notifications can be sent in two ways, offering more control over when and how workers receive updates. This is particularly useful when you want to ensure that workers receive notifications at the most relevant time, rather than immediately upon any schedule change.
From Scheduler > Timeline
- Select the 'Notify Workers' button within the Timeline view.
- Choose to notify workers on a specific shift, day, or order.
From the Edit Order Screen
-
You can make changes to an order, including location updates, document updates, contact updates, and comments.
-
Selecting 'Save and Notify Workers' will send a single notification summarizing all order updates.
-
Selecting 'Save Order' will save your changes without notifying workers.
- Note: When multiple updates are made to an Order, only one notification will be sent to the worker detailing all the changes that were made.
Additional Details about Manual Notifications
- Job Assignment notifications will not be sent if the shift has already started or if the day is in the past.
- Workers who have declined their shift will not receive notifications.
- Notifications will only be sent for orders that are in 'In-Progress' or 'Confirmed' statuses.
- Push Notifications are available for iPhone and Android devices.
Tips for Managing Notifications Efficiently
-
If an order is in 'In-Progress' or 'Confirmed' and you need to make multiple scheduling updates without notifying workers immediately, it’s recommended to turn the automatic notification toggle OFF. This allows you to finalize changes without overwhelming workers with multiple alerts.
-
If you plan several orders in advance and want all workers to receive their job notifications at the same time, keep the automatic toggle OFF. When ready, change your orders to 'In-Progress' or 'Confirmed' and you will be prompted to choose if you would like to notify all workers.
-
If you prefer not to manually send worker notifications, keep the automatic setting ON. As long as your orders are in 'Confirmed' or 'In-Progress' status, workers will receive updates about their job assignments automatically.
By using these notification settings effectively, you can keep fieldworkers informed while reducing unnecessary alerts. Automatic notifications ensure workers stay updated on shifts and approvals without manual intervention. Manual notifications give schedulers control over when updates are sent, ensuring workers receive relevant information at the right time.
Other Automatic Notifications
Leave Management: When a Leave Request has been confirmed, declined, or cancelled, workers are automatically informed of these status changes.
Check In / Out Reminders: Workers can receive notifications when their shift is about to start and end.
-
Workers will receive a Check In Reminder:
- If they have confirmed their assignment and,
- 5 mins before the start of their assigned shift.
-
Workers will receive a Check Out Reminder:
- If they have confirmed their assignment and,
- 5 mins before the end of their assigned shift.
Note: If you've disabled the Check In/Out feature for your workers, they will not receive any notifications.
