Auto-populating worker information in Dockets (tickets)

Set up your supervisor roles and client dockets so a supervisor can select multiple workers from their allocation and have those workers (with start and end times) auto-populated into the docket.

Before you start

This setup applies to supervisors submitting dockets on the mobile app on behalf of their crew.

  • There are two requirements: the supervisor's role must have the Supervisor toggle on, and the docket template must be attached to the client on the order.

Step 1: Mark the role as Supervisor

Only roles with the Supervisor toggle on can pull a list of workers on the same order. Without this, the mobile app will not show the worker selection screen.

  1. Go to Resources > Roles.
  2. Click the role the supervisor uses (the role they are allocated to on the order).
  3. Tick the Supervisor checkbox.
  4. Click Save.

    Tick Supervisor on the role, then click Save.

Why this matters

Turning on Supervisor lets the worker assigned to this role add timesheets and dockets for everyone assigned to the same order on that day. Without it, they only see their own.

Step 2: Attach the docket template to the client

Workers submit dockets through their allocation. For the docket to appear and pull worker data, the template must be attached to the client on that allocation.

  1. Go to Project Data > Clients.
  2. Click the client you want to attach the docket to.
  3. In Docket Templates, add the template (or templates) you want available on this client's allocations.
  4. Click Save Client.

How it works on the mobile app

Once both setup steps are done, the supervisor will see the docket on their allocation and can select multiple workers in one go. The selected workers (with their start and end times) are auto-populated into the docket.

  1. On the home screen, tap the allocation to expand it, then tap see more.
  2. Scroll to Dockets and tap the template name.
  3. On the Select Workers screen, tick the workers you want included, or tick ALL.
  4. Tap Next. Each selected worker is added as a row with their allocation times pre-filled.
  5. Complete the rest of the docket and submit.

Things to know

  • If the supervisor does not see the worker selection screen, check that their role on the order has Supervisor turned on. The role on the order is what counts, not their general role assignment.
  • If the docket template does not appear on the allocation, check that the template is attached to the client on the order, not just to the order itself.
  • Workers must be allocated to the same order on the same day for the supervisor to see them on the Select Workers screen.
  • Start and end times come from each worker's allocation, not the supervisor's. You can edit them in the docket if needed.
  • If a worker is added to the order after the docket is opened, they will not appear until the docket is closed and reopened.
