Quick Start: Data Export / Import Guide (Assignar → Accounting Systems)

This guide explains how to export data from Assignar and import it into popular accounting and ERP systems. It also includes important notes on when additional tools or modules are required to import time entries, which most systems do not support natively.

 

Exporting Data from Assignar

To prepare your data for your accounting system, begin by exporting clean, structured data from Assignar.

Common Assignar Exports
• Projects / Jobs
• Field Users / Employees
• Forms & Timesheets (Timesheet Detail)
• Allocations / Scheduling Data
• Assets & Equipment
• Customers / Clients

How to Export

Log into Assignar Web

  1. Go to Reports 

  2. Select the report or module

  3. Apply date/job filters

  4. Click Export → CSV or Download

Or, 

  1. Go to Field Data > Timesheets

  2. For Standard Timesheets export use the Weekly tab

  3. Click Export 

Prepare Your Exported Data
• Remove unwanted columns
• Standardize employee/job naming conventions
• Confirm hours are in correct format (decimal vs HH:MM)
• Fix dates, duplicates, and formatting issues
• Match Assignar job names to your ERP naming structure
• Convert timestamps to date + hour if required


General Import Preparation (All Systems)

Before importing into any accounting or ERP platform:

  • Export Clean Data
    Export using Assignar’s newest reports (CSV or Excel).

  • Review & Clean the File
    • Remove duplicates
    • Fix inconsistent date formats
    • Ensure required fields are filled
    • Match column headers to ERP templates

  • Map Fields
    Create a simple mapping: “Assignar Field → Accounting Field”.

  • Back Up System Files
    Always create a backup before importing into QBD, Sage 100, Sage 300, or others.


QuickBooks Desktop (QBD)

Supported Import Methods
• IIF files
• CSV imports (limited)
• Excel imports (version-specific)

Tips
• Dates must be in MM/DD/YYYY
• Convert formulas to values
• Job structure: use Customer:Job format
• Convert CSV to IIF if needed

Importing Time Into QBD (Important)
QBD does NOT support direct CSV time-entry imports.

Time can only be imported using:

  1. IIF File Imports (Free)

    • Requires CSV → IIF conversion

    • Very strict formatting

  2. Third-Party Tools (Recommended)

    • Transaction Pro Importer

    • Zed Axis

    • SaasAnt

    • CData connectors

  3. QuickBooks Time (TSheets)

    • Paid subscription

    • Only imports time collected inside TSheets


QuickBooks Online (QBO)

Native CSV Imports Supported
• Customers
• Vendors
• Chart of Accounts
• Products & Services
• Invoices (limited)
• Bills (limited)

Important: QBO does NOT support native CSV time-entry imports.

Options for Importing Time Into QBO
• QuickBooks Time (TSheets) – paid, official
• Third-party tools: SaasAnt, Transaction Pro, Zed Axis, Zapier/CData
• API-based custom integrations (developer required)


Sage 50

Native Imports
• Customers
• Vendors
• Inventory Items
• Chart of Accounts
• Some transactions

Time Entry Imports
Sage 50 cannot import timesheets via CSV natively.

To import time you must use:
• Payroll module (US/Canada)
• Third-party tools (Zed Axis, TimeTrak, Scanco, SDK-based tools)
• Custom ODBC/SDK integrations


Sage 100

Import Methods
• Visual Integrator (VI) – paid module
• Template-based CSV imports

Time Entry Imports
Importing time requires:
• Visual Integrator
• AND appropriate modules (Job Cost, Payroll, or TimeCard)

Third-Party Tools
• Sage Data & Analytics
• Scanco TimeCard
• CData connectors
• Custom ODBC scripts


Sage 300

Import Methods
• CSV imports (strict field matching)
• Data Import/Export Tool

Time Entry Imports Require:
• Job Costing module
• OR Payroll module
• AND correct CSV template structure

Common Third-Party Solutions
• Pacifictech Timesheet
• Norming Resource Manager
• Orchid Extender
• CData or custom integrations


Vista Viewpoint

Vista does NOT support native CSV time-entry imports.

Time Import Options

  1. Data Import Manager (DIM) – licensed add-on
     

  2. Custom Integrations
    • Vista SDK
    • Database staging tables
    • API


Best Practices for All Systems

  • Start with a small test import

  • Review error logs

  • Document your mapping

  • Validate imported data immediately (jobs, employees, hours, GL impact)
