Update an existing asset document record with new details and keep a full history of previous versions in the Archived versions panel.
Before you start You will need Admin access. The document must already be attached to the asset. See Add a document to an asset → if you have not done this yet. |
Update an asset document
When you save changes to an asset document, Assignar automatically saves the previous version to the Archived versions panel on the right-hand side of the page.
- Go to Resources > Assets / Attachments.
- Click the asset name to open it in the side panel.
- Click the expand icon (top right of the panel) to open the full asset detail page.
- Select the Documents tab.
- Click the document entry you want to update.
- Update the relevant fields, for example Label, Expiry Date, Expiry Number, or Attachment.
- Click Save Asset Document.
The previous version is now listed in the Archived versions panel on the right. Refresh the page if the panel does not update immediately.

View archived versions
The Archived versions panel is visible on the right-hand side of the Edit Asset Document page. Each entry shows the date and time the version was saved.
Archived versions are read-only and cannot be edited or restored. They are kept for reference only. If you click on the date/time it will open a pop-out with the archived details and you will be able to view attachments.
Things to know
- Archived versions only appear after saving a change. The panel is empty on a newly created document.
- Refresh the page after saving if the Archived versions panel does not update straight away.
- Archived versions cannot be restored or edited.
- The document type (No Expiry, Date Expiry, Number Expiry, Date and Number Expiry) cannot be changed after expiry data has been entered. Create a new document with the correct type if needed.
- Deleting a document removes it from every asset it is attached to and cannot be undone. Use the Disable toggle on the document record if you want to deactivate it without deleting.
