Collaborate: Timesheet Required Collaborative Forms

If you have a form that must be completed before time is submitted in Assignar, you can set it as a timesheet required form.

 

If you use this setting in tandem with a collaborative form, the functionality is slightly different to using it with a non-collaborative/private form.

 

 

For a non-collaborative form

If a non-collaborative form is marked as timesheet required, the fieldworker will have to submit the form before they can submit their time.

 

 

For a collaborative form

If a collaborative form is marked as timesheet required, the fieldworker will have to have added responses to the form before they can submit their time.

This means that the fieldworker does not have to submit the form, they simply need to have added some responses to the form.

 

If a fieldworker has a version of a form result associated to them, they will be able to submit their time in Assignar.

 

The user does not have to submit the form as the form may require input from other people, and the fieldworker submitting their time should not be blocked as a result of other people not adding their responses to the form.

 

 

Example

You have a pre-start form that all workers need to sign before they can submit time.

The form is associate to an order task and marked as timesheet required.

 

The supervisor has completed the bulk of the form, saving it and as a result have v1 of the form result associated to them. They do not submit the form as they need each fieldworker to review it and sign the form from their own device.

 

Fieldworker 1 has reviewed the form and adds their signoff. They save the form and as a result have v2 of the form result associated to them. They are then able to submit their timesheet.

 

Fieldworker 2 has not reviewed the form and has not yet added signoff. They do not have any form result versions associated to them. If they try to submit their time in Assignar, they will be prompted to go to the pre-start form.

To use this functionality, you need to configure your form settings with the two circled settings in the screenshot below enabled:
