Set Up Pay Rates

Who this feature is for

  • Dashboard Users with access to Timesheet Codes in the Assignar Web App.
  • Those responsible for Payroll and reviewing Timesheets.

 

Pay Rates refer to the amount of money workers are paid per hour, per week, etc. You can set up a set of rules that adds different pay rates to your worker's approved Timesheet based on the hours worked, so your workers can be paid accurately. 

To begin, set up your Timesheet Codes

These codes are typically kept in your accounting software. 

  1. Under Field Data, navigate to Timesheet Codes
  2. Click +Add New
  3. Fill in the Code and the Label (e.g. Code: 01, Label: Base Rate)
  4. Save
  5. Repeat until you've built your list of Timesheet Codes

Next, set up your Pay Rate Groups

You can set up several different Pay Rate Groups:

  • User Pay Rate Group
  • Role Pay Rate Group
  • Project Pay Rate Group
  • Client Pay Rate Group

Set up User Pay Rate Group

  1. Go to Resources Workers > select a Worker
  2. From the worker details page, go to Pay Rate tab
  3. Click +Add New Rate Group 
  4. Add a Label (e.g. Level 1 Weekday Rate)
  5. Add the Priority number. This number will order the Pay Rate Groups when applied to a worker's timesheet. So, if you want it to appear first, add 1. 
  6. Click Add Item
  7. Select a code, description, units (hours worked), and rate (hourly rate of pay)
  8. To add Allowances, tick the Inc box, so these are always added to every timesheet
  9. Click Save Group when finished

Set up a Role Pay Rate Group

Note: a role pay group must be set up before setting up a project or client pay rate group

  1. Go to ResourcesRoles > select a Role
  2. Click on the pop-out icon () near the top-right of the slide-out window. This will open a new page with more settings
  3. Go to the Pay Rates tab
  4. Click +Add New Rate Group
  5. Add a Label (e.g. Level 1 Weekday Rate)
  6. Add the Priority number. This number will order the Pay Rate Groups when applied to a worker's timesheet. So, if you want it to appear first, add 1. 
  7. Click Add Item
  8. Select a code, description, units (hours worked), and rate (hourly rate of pay)
  9. To add Allowances, tick the Inc box, so these are always added to every timesheet
  10. Click Save Group when finished

Set up a Project Pay Rate Group

Note: a role pay group must be set up before setting up a project pay rate group

  1. Go to Project Data Projects > select a Project
  2. From the Project details page, go to the Pay Rates tab
  3. Click +Add New Rate Group 
  4. Under Select Role, choose the appropriate role
  5. Under Select Rate, choose the appropriate rate
  6. Click Select 
  7. (If needed) Add a Label (e.g. Level 1 Weekday Rate)
  8. (If needed) Add the Priority number. This number will order the Pay Rate Groups when applied to a worker's timesheet. So, if you want it to appear first, add 1. 
  9. (If needed) Select a code and add a description, units (hours worked), and rate (hourly rate of pay)
  10. To add Allowances, tick the Inc box, so these are always added to every timesheet
  11. Click Save Group when finished

Set up a Client Pay Rate Group

Note: a role pay group must be set up before setting up a client pay rate group

  1. Go to Project Data > Clients > select a Client
  2. From the Client details page, go to the Pay Rates tab
  3. Click +Add New Rate Group
  4. Under Select Role, choose the appropriate role
  5. Under Select Rate, choose the appropriate rate
  6. Click Select 
  7. (If needed) Add a Label (e.g. Level 1 Weekday Rate)
  8. (If needed) Add the Priority number. This number will order the Pay Rate Groups when applied to a worker's timesheet. So, if you want it to appear first, add 1. 
  9. (If needed) Select a code and add a description, units (hours worked), and rate (hourly rate of pay)
  10. To add Allowances, tick the Inc box, so these are always added to every timesheet
  11. Click Save Group when finished

 

Editing Pay Rate Groups

  1. Navigate to the Pay Rates tab in the module you want to make edits (i.e. the Worker, Role, Client, or Project)
  2. Find the Pay Rate Group you would like to make changes to 
  3. Click on themore_vert.pngicon > Edit
  4. Make changes to either the codes, description, rate or units. Or, add/remove an item 
  5. Save

 

Once this is set up, you can add Pay Rates to a worker's timesheet!
