Add / Edit / Archive - Worker: Skills, Competencies, & Inductions

Add, update, archive, and remove the skills, competencies, and inductions held against a worker, and view the full history of every archived version from the worker's Qualifications panel.

Before you start

Skills, competencies, and inductions each behave differently. Skills grant a capability, competencies (qualifications) and inductions carry an issue date, expiry date, and an attachment, and keep a version history.

Open a worker's Qualifications

  1. Go to Resources > Users, search for the worker, and open their profile.
  2. Click the Qualifications tab. The panel opens with three tabs: Competencies, Skills, and Inductions.

 

Add or remove skills

The Skills tab has two lists. Add and remove skills in the top list only.

User Skills (No Competencies)

Skills you assign directly to the worker, where no competency is required to hold them.

  1. Click Add.
  2. Choose a skill from the Select Skill drop-down list.
  3. Click Save. Repeat for as many skills as you need.
  4. To remove a skill, click the red trash icon next to it in the list.

Skills from Competencies

A read-only list of skills the worker holds automatically because of a competency. Each row shows the Source Competency. You cannot remove these here: change or remove the source competency instead.
 

Add a competency

  1. On the Competencies tab, click Add.
  2. Choose the qualification from the Competencies drop-down list.
  3. Enter a Description if you want one (optional, up to 50 characters).
  4. Enter the Issue Date, and the Expiry Date if the competency requires one. Both are marked required when the competency type uses an expiry date.
  5. Under Photo, click Browse (or drag and drop) to attach a photo, scan, PDF, or Word document of the ticket. Add a Back Photo if the ticket has a reverse side (optional).
  6. Click Save. Repeat for as many competencies as you need.

Tip

Each row is colour-coded so you can spot problems at a glance: red = expired, orange = expiring soon, grey = disabled. Use the All filter or the search box to find a specific competency.

 

Add an induction

Inductions work the same way as competencies. On the Inductions tab:

  1. Click Add and choose the induction from the drop-down list.
  2. Enter the Issue Date, and an Expiry Date if one is required.
  3. Attach a photo, scan, or document if you have one (optional).
  4. Click Save. Repeat for as many inductions as you need.

     

Edit, archive, or remove a competency or induction

In the last column of any competency or induction row, click the () menu. You have three options:

Action What it does
Edit Update the details (for example, a new expiry date or a new ticket photo). Saving automatically archives the previous version, so you keep a full history. This is the recommended way to renew a competency or induction in the dashboard.
Archive Move the current version into the archived history. Use this to retain a record you may need later without keeping it active.
Remove Permanently delete the competency or induction. A Confirm Remove prompt appears. A removed item cannot be restored.

Archive keeps history. Remove does not.

Update in the dashboard by clicking Edit, not by removing and re-adding. Editing archives the previous version automatically, so the worker's history stays intact.

Remove is permanent. A removed competency or induction, and its archived versions, cannot be recovered. Choose Archive if there is any chance you will need the record again.

View archived versions

  1. Open the worker's Qualifications panel.
  2. In the last column of the competency or induction, click and then Edit.
  3. Previously archived versions are listed under Archived versions in the top-right corner, each with a date and time stamp.
  4. Click a version to open the Archived Version popup and review its issue date, expiry date, attachment, description, and disabled status.
  5. To delete a single archived version, click the trash icon next to it. A deleted archived version cannot be restored.

If the competency or induction was archived without a new version added

If you archived an item and did not add a replacement, its history is not shown until you re-add the item:

  • Re-add the same competency or induction to the worker's profile.
  • Refresh the page.
  • Click () and Edit on that item again. All previously archived versions are now visible in the top-right corner.

Things to know

  • Remove is permanent for both the item and its versions. There is no undo and no restore. Use Archive when you might need the record later.
  • Editing always archives the previous version. You do not need to archive manually before editing: renewing a competency by clicking Edit keeps the old version automatically.
  • Deleting an archived version is also permanent. The trash icon in the Archived versions panel removes that single version for good.
  • Skills do not have versions. The trash icon on a skill deletes it outright, with no archive.
  • Skills from Competencies are read-only. Remove or disable the source competency to change them.
  • Disabled is not the same as Archived. Disabling marks a competency inactive but keeps it in the list (shown in grey), while archiving moves it into version history.
