Use journal entries to keep dated, time-stamped notes on a worker or dashboard user. They are useful for recording incidents, performance reviews, and other important events, and you can attach a file to any entry to keep supporting documents in one place.

Before you start You can add journal entries to both worker (fieldworker) and dashboard user records. Journal entries are opened from the Users page, one person at a time. |
Open journal entries for a user
- Go to Users.
- Use the Workers or Dashboard tab to find the person you want.
- Click the three-dot menu (the ⋮ icon) on the left of their row.
- Select Journal Entries.
The Journal Entries window opens and lists every entry saved against that person.
Understand the Journal Entries window
Each journal entry is shown as a row with the following columns:
- Added By: the user who created the entry.
- Comment: the note recorded in the entry.
- Attachment: a file link (for example, 1 File) if a document is attached, or No File if not.
- Date & Time: when the entry was added. This is stamped automatically.
Entries are shown with the most recent at the top by default. You can also:
- Use the Search bar to filter entries by keyword or by who added them.
- Click the sort arrow next to a column heading to sort entries in ascending or descending order.
- Check the counter at the top (for example, Showing 2/2 entries) to see how many entries match your current view.
- Drag the bottom-right corner of the window to resize it.
Add a journal entry
- In the Journal Entries window, click Add New. The Create Journal Entry window opens.
- Type your note in the Comment field. You can enter up to 1000 characters, and the counter below the field shows how many you have used.
- To attach a file (optional), click Upload File and choose a file, or drag and drop a file into the upload area. The maximum file size is 5MB.
- Click Save. The entry appears in the list with your name, the comment, any attachment, and the current date and time.
To close without saving, click Cancel or the X.
Open an attachment
- In the Attachment column, click the file link (for example, 1 File) next to the entry.
- The file downloads to your computer.
- Click the downloaded file to open it.
This step may look slightly different depending on your browser and computer settings.
Things to know
- Journal entries are date and time stamped automatically, so you always have a record of when each note was added.
- Every entry records who created it in the Added By column.
- Journal entries stay attached to the individual user. To review them later, reopen that person's Journal Entries window from the Users page.
- Rows with a file show a link in the Attachment column; rows without one show No File.
- Journal entries are separate from worker documents. Use documents for expiring compliance items, and use journal entries for freeform notes and records. See Add a Document to a Worker
