Update order Dates and Duration

Move an order to different dates, or make it shorter or longer, and understand how Assignar adjusts the roles, allocations and timesheets attached to it.

Before you start

You can change order dates from the Scheduler Timeline or by editing the order directly.

An order can only be moved when it is in a status that allows changes (eg New, Pending)

Assignar shows a summary of the impact before any change is applied. Read it before you confirm.

 

Individually Move Orders

When you change the start date of a Work Order, Assignar now automatically moves the Order Task dates to match. 

Before committing any change, Assignar will clearly warn you of the impact of your change. You can see this in action here, where we move an order in the Planner:

  • We moved the Order forward by 8 days.

  • This will move the order, its roles and allocations, forwards by 8 days.
    This order has already started and shifts in the past may have been allocated.
    ⚠️ Important: Any existing timesheets linked to those allocations will be unlinked and converted into loose timesheets. This change may affect reporting and payroll data.

  • If the order has not yet started you will just receive an alert confirming the order roles and allocations will move forwards.

  • You will also received these warnings moving orders backwards:

If the order has already started, any existing timesheets linked to the affected allocations are unlinked and converted into loose timesheets. This can affect your reporting and payroll data, so check those timesheets after the move.

 

Changing Order Duration

You can change the Order's duration by changing the end date of the order, or by changing the new Duration field in the Order. In this case:

  • If you shorten the order, then tasks and allocations can be deleted from the end of the order. Assignar will provide a clear indication of how many tasks and allocations will change.

  • If you extend the order, tasks are not currently extended - no change will be made to any task or allocation.

     

  • If you extend in the Scheduler Timeline it gives you the option to keep your roles and allocations and apply them to your new dates (it will not apply these to your non working days)

Moving And Changing Duration

You can move an order and change its duration in the same edit. The behaviour is a combination of the two above: the order shifts to the new dates, and roles and allocations are added or removed at the end according to the new duration.

Assignar always shows a clear warning before anything is moved or deleted, so you can review the impact and cancel if it is not what you expected.

 

Move an order to different dates

When you change the start date of an order, Assignar automatically moves the order's role dates to match. Nothing is applied until you confirm.

  1. Open the order from the Scheduler or from the Orders list.
  2. Change the Start date to the new date.
  3. Read the warning that appears. It tells you exactly what will move and what will be affected.
  4. Click Save to apply the change.

What the warning tells you

  • Moving an order forward moves the order, its roles and its allocations forward by the same number of days.
  • If the order has not yet started, you receive a simple alert confirming that the roles and allocations will move.
  • If the order has already started, shifts in the past may already have been allocated. Assignar flags this separately.
  • The same warnings appear when you move an order backwards.

 

Moving several orders at once

If you need to delay or bring forward a run of dependent orders, you can move them together from the Scheduler Timeline rather than editing each one. 
To use it:

  1. Click Move jobs in the top-right corner. Selectors will appear next to each eligible job (any job in a status that allows the order to move).
  2. Select the jobs you want to move, then click Move jobs in the bottom-right corner.
  3. In the modal, choose whether to shift the jobs earlier or later, and enter the number of days.
  4. Click Move, and you're done.

Things to know

  • Nothing moves until you confirm. Assignar always summarises the impact first and you can cancel at that point.
  • Unlinked timesheets are not deleted. They become loose timesheets, which means they are no longer tied to an allocation and will need to be reviewed.
  • Extending an order does not create roles or allocations for the new dates unless you extend from the Scheduler Timeline and choose to carry them across.
  • Roles and allocations are never applied to non-working days. These are set in your company working days configuration.
  • Orders in some statuses cannot be moved. If an order will not move, check its status first.
