Use the Skill and Competency Search to find workers based on the skills or competencies they hold, combined with their inductions, employment type, supplier, user tags, status, state and their availability on a chosen date.
Before you start You can enter as many or as few criteria as you like. Leaving every field blank and clicking Search returns all workers. |
Search for workers by skill
Enter one or more criteria to narrow the list, or leave fields blank to widen it.
- Go to Resources > User Search to open the search criteria fields.
- Make sure the Search by skills tab is selected. It is selected by default.
- Skills: select one or more skills from the dropdown to limit results to workers who hold them. Click the X next to a skill to remove it.
FIlter Description Inductions Select one or more inductions to limit results to workers who hold them. Click the X to remove one. Employment type Select one or more types, for example casual or permanent. Click the X to remove one. Supplier Select a supplier to limit results to that supplier's workers. Change it back to Select supplier to clear it. Status Choose the worker status to include. This defaults to Active. Allocation date Select a date to show each worker's availability on that day. User Tags Select one or more user tags to limit results. Click the X to remove one. State Enter a state to limit results to workers in that location. - Click Search to display the workers who match your criteria.
Search for workers by competency
The competency search works the same way, but matches on the competencies (qualifications) a worker holds rather than their skills.
- Go to Resources > User Search.
- Click the Search by competencies tab.
- Competencies: select one or more competencies from the dropdown to limit results to workers who hold them. Click the X to remove one.
- The remaining fields (Inductions, Employment type, Supplier, Status, Allocation date, User Tags and State) work the same way as on the Search by skills tab.
- Click Search to display the matching workers.
Understand the search results
Under either tab, the matching workers appear in a list below the search fields. If no workers match, you will see 'No results' instead of a list.
- Filter: start typing in the filter bar to narrow the list, for example by first or last name, suburb, employment type, supplier or allocation status.
- Sort: click the up or down arrows at the top of any column to sort the list in ascending or descending order.
- Expiries: a coloured number bubble in the Expiries column means the worker has expired or expiring competencies or inductions. Hover the graduation-cap icon to confirm it relates to worker qualifications, then click the bubble to open a popup with the expiry details. Expired items are highlighted in red.
- View a worker: click the three-dot (Actions) menu at the end of a worker's row and choose View Competencies to view or edit that worker's competencies, inductions and skills.
Email or SMS workers from the results
You can message the whole list at once, or a single worker, straight from the search results.
- To message everyone in the current list, click Actions at the top right of the results and choose Send Group SMS or Send Group Email.
- For an SMS, select a template or type your message, then click Send. Use [fname] and [lname] to personalise it.
- For an email, complete the To, Cc, Bcc, Subject and Message fields, then click Send.
- To email a single worker, click the three-dot (Actions) menu on their row and choose Email.
Export the results
- Click Actions at the top right of the results and choose Export to Excel.
Things to know
- Leaving every search field blank and clicking Search returns all workers that match the Status filter.
- The Status field defaults to Active. Change it if you also want inactive workers in the results.
- The Allocation date drives the Allocation status shown for each worker. Without a date, availability for that day is not shown.
- Skills and competencies are separate tabs. A worker only appears under the tab that matches the type of qualification you searched on.
- Send Group SMS and Send Group Email go to every worker in the current filtered list, so filter the list first to avoid messaging the wrong people. You can also manually remove workers.
