Review, edit and approve the competency and induction documents your workers submit from the Assignar mobile app, so they never have to come into the office to scan a new qualification.
Submissions sit in the Mobile Uploads list as Pending until you action them. Once you approve a submission, it is added to the worker's profile and counts towards their compliance when you schedule them to roles and shifts.
Before you start Workers submit these documents from the Assignar mobile app, so make sure the worker has the app and is set up as a fieldworker. Nothing is added to a worker's profile until you approve it, so review each submission before actioning. |
Open Mobile Uploads
- Go to Compliance > Mobile Uploads.
- Use the dropdown below the page header to switch between Competencies and Inductions. Each view is a separate list.
Each row shows the fieldworker, the competency or induction, the uploaded image, comments, expiry and issue dates, the upload date, the status, and who approved it.
Find and check a submission
- Use the search bar to filter by fieldworker name, competency or induction, or comments.
- Click any column header to sort the list in ascending or descending order.
- Click the image thumbnail to open the full-size preview. From here you can rotate it left or right, download it, or expand it to fullscreen. Click the x to close.
If the image is unclear or the details are wrong, do not approve it. Ask the worker to resubmit using Send SMS (see Message the worker below).
Edit a submission
You can correct the competency or induction, the comments, or the attachment before approving.
- Click the row (anywhere except the image), or open the (⋮) menu and choose Edit. The edit panel opens on the right and shows the worker and the current status.
- Select the correct Competency (or Induction) from the dropdown.
- Add or update Comments if needed.
- Check the Uploaded Attachment. Click the x next to the file to remove it if it is wrong.
- Click Save.
Tip: the competency isn't in the list? If the competency the worker uploaded does not exist yet, click Add New Competency in the edit panel. This creates the competency in your system so it becomes selectable in the dropdown. Note: this adds it for your whole organisation, not just this worker. |
Approve a submission
- Open the ⋮ menu on the row and choose Approve.
The status changes to Approved, and your email appears in the Approved By column. The competency or induction is now on the worker's profile and is used for compliance checks when you schedule them.
Message the worker
Two options in the ⋮ menu let you follow up with the worker without leaving the page:

| View Conversation | Opens the SMS conversation history with that worker so you can see previous messages before you reply. |
Delete a submission
- Open the ⋮ menu on the row and choose Delete.
- Confirm in the Delete mobile upload dialogue.
Warning Deleting a mobile upload removes it from the system permanently. It cannot be restored. |
Things to know
- Submissions stay in the Mobile Uploads list as Pending until you approve them. Nothing is added to the worker's profile before that.
- Approving a submission adds the competency or induction to the worker's record and feeds their compliance status when you schedule them to roles and shifts.
- Expiry Date and Issue Date come from what the worker entered on their phone. Check them in the edit panel before you approve.
- Add New Competency creates the competency across your whole organisation, not just for this worker. It then appears in the dropdown for everyone.
- Deleting is permanent and cannot be undone. If a submission is just unclear or incorrect, use Send SMS to ask for a resubmission instead of deleting.
