Do you have a memo about a client, supplier or asset?
Maybe you only want your supervisors to view a document? 

Most of this information might be in your head or on a spreadsheet but in Assignar they would become a "Tag".
Below we explore how you can use Tags in Assignar. 

 There are 3 main functions of Tags: 

  1. Memo or FYI - Use tags to make a memo or FYI so you don't forget. You can tag a user, asset, client, project, document, invoice, order, a supplier with a specific tag. For example, an "OUT FOR SERVICE" tag can be applied to an asset when it is being serviced. 

  2. Segmentation - Use tags to segment your users, assets, clients etc. This is a great way to distinguish between your different users or assets. For example, you want to know who all your supervisors are, so you can create a tag and tag all your supervisor up with the "SUPERVISOR" tag and search for users with that tag. 

  3. User Access - Use tags for specific user access between the office and site. Using tags allow your field workers special access to different modules. For example, if you want a supervisor to view all his site crew. You first need to make sure all his site crew is tagged and then under User Access add the specific tag in the Team Tags section to allow the supervisor to view his crew under My Items > My Crew in the Fieldworker App. 

How to add tags 

In most modules, you will find "{module} Tags", this is where you add tags. Below we will use Orders as an example of how to add a tag to the module. 

  1. Click Orders > Order Tags to see a list of all your order tags. On the right-hand side of the page, you will see "Order Tag Detail

  2. Enter a tag name into the Tag Name box. 

  3. Enter the tag description (optional).

  4. Select a tag color from the drop-down list (optional). You will see the tag in this color in the Orders list and details screens.

  5. Click Save when you’ve finished adding the new order tag. You will see a message confirming that the order tag has been saved.

  6. You will see you new tag appear on the left in the tag list view. 

Delete an order tag

  1. Click Orders > Order Tags and click on the trash button next to an order tag to delete it. If you delete an order tag it will be removed from any orders it’s currently attached to.

  2. You will see a message asking “Are you sure you want to delete [order tag name]?” Click OK (or cancel if you’re not sure).

Asset Tags

  1. You can filter the assets list and search for assets using an asset tag, which you can use to ‘tag’ assets that have something in common. i.e Tag all your Trucks with a Truck Tag 

  2. You can use Asset tags is to for memos or FYIs i.e. Out for Service

  3. You can use the tags from point 1. to give fieldworkers access through user access. 

Asset Attachments Tags

  1. You can filter the asset attachments list and search for asset attachments using an asset attachment tag, which you can use to ‘tag’ asset attachments that have something in common. 

  2. You can use Asset tags is to for memos or FYIs i.e. Out for Service

  3. You can use the tags from point 1. to give fieldworkers access through user access.

Contact Tags

  1. You can filter the contact list and search for contacts using a contact tag, which you can use to ‘tag’ contacts that have something in common. 

  2. You can use Contact tags is to for memos or FYI i.e. Project Manager, Site Manager or Foreman 

Client Tags

  1. You can filter the client list and search for clients using a client tag, which you can use to ‘tag’ clients that have something in common. 

  2. You can use client tags is to for memos or FYI i.e. On Hold

Document Tags

  1. You can filter the document list and search for documents using a document tag, which you can use to ‘tag’ documents that have something in common. i.e. company policy, supervisor only doc

  2. You can use document tags is to for memos or FYI i.e. new document 

  3. You can use the tags from point 1. to give fieldworkers access through user access. i.e. supervisor only doc (for your supervisors to view) 

Invoice Tags 

  1. You can filter the invoice list and search for invoices using an invoice tag, which you can use to ‘tag’ invoices that have something in common. i.e. company policy, supervisor only doc

  2. You can use Invoice tags is to for memos or FYI i.e. Outstanding Invoice 

Order Tags

  1. You can filter the orders list and search for orders using an order tag, which you can use to ‘tag’ orders that have something in common. I.e

  2. You can use order tags is to for memos or FYI i.e. You might have two offices and you tag up your orders for Sydney with a Sydney Tag and orders for Melbourne with a Melbourne Tag

Project Tags

  1. You can filter the projects list and search for projects using an project tag, which you can use to ‘tag’ projects that have something in common. I.e

  2. You can use project tags is to for memos or FYI i.e. You might have two offices and you tag up your projects for Sydney with a Sydney Tag and projects for Melbourne with a Melbourne Tag

Supplier Tags

  1. You can filter the supplier list and search for suppliers using a supplier tag, which you can use to ‘tag’ suppliers that have something in common. 

  2. You can use Supplier tags is to for memos or FYI i.e. You might tag Tier 1 supplier for your favourite tags

User Tags

  1. You can filter the Dashboard user and fieldworker lists and search for users using a user tag, which you can use to ‘tag’ users that have something in common. i.e. Supervisor, NSW or Leading Hand 

  2. You can use Asset tags is to for memos or FYIs i.e. Great Worker or Works Weekends

  3. You can use the tags from point 1. to give fieldworkers access through user access. i.e. Crew 1, Crew 2
