Basics: SMS Templates

When sending an SMS to fieldworker/s you can use a predefined template for common messages, to save you typing it out every time. This is where you create and update SMS templates.

 

SMS Templates list

  1. Click SMS Templates to see your list of SMS templates that can be used for common messages.

  2. Start typing in the search bar to filter the list or search for a specific template/s, e.g. by template name or a word in the template content.

  3. Click ˅ or ˄ at the top of any column to sort the list alphabetically (or numerically, depending on the column) in ascending or descending order.

  4. Click the blue Edit button next to a template to see the details for that template.

Add a new SMS Template

  1. Click SMS Templates Add new SMS Template to create a brand new SMS template.

  2. Enter a template name. This will appear on the templates dropdown list when composing an SMS.

  3. Type the message to be used for every SMS where this template is selected. The message can be up to 320 characters long. Avoid using non-standard characters (e.g. tabs, emoticons, international characters) as these will be automatically removed and replaced with ‘?’ when sending an SMS.

[fname] and [lname] variables can always be used to personalise your messages by substituting the fieldworker’s first name or last name when the message is sent.

There are a number of other variables that can also be used, but only for templates used under the Notify Workers tab in the Order details screen:

[project]

[job_description]

[job_number] or [work_order]

[location]

[start_date]

[start_time]

[end_date]

[shift_duration]

[contacts]

 

  1. Click Save when you’ve finished creating this new template. You will see a message to confirm that the template has been added. You can always come back and edit the template later.

Edit an SMS Template

  1. Click SMS Templates Edit (blue button next to a template in the SMS Templates list) to view and/or update details for an existing template.

  2. Change the template name. This will appear on the template dropdown list when composing an SMS.

  3. Update the message that will be used for every SMS where this template is selected. The message can be up to 320 characters long.

There are a number of other variables that can also be used, but only for templates used under the Notify Workers tab in the Order details screen: [client], [project], [job_description], [job_number], [location], [start_date], [end_date], [shift_duration], [contact], [username] and [empid].

  1. Click Save when you’ve finished making changes. You will see a message to confirm that the template has been saved.

  2. You can click back to the SMS templates list using the navigation buttons across the top of the screen, or just go to a different screen by clicking an option in the side menu.

Delete an SMS Template

If you delete an SMS template it will be removed from the templates list permanently. Deleted templates are no longer available to select in the dropdown list of templates when composing an SMS.

  1. Click SMS Templates Delete (red button next to a template in the templates list).

  2. You will see a message saying “Are you sure you want to delete [template name]?” Click OK (or cancel if you’re not sure).
