Add equipment to Assignar, set up asset classes for reporting, and archive assets you no longer use so they stay out of your active list without losing their history.

Before you start You will need Admin or Dashboard user access to add, edit or archive an asset. Adding a few assets is easy. If you need to add a lot at once, use Import your assets (equipment) to set them up in bulk. |
Overview
Asset classes
Classes are an optional field used for reporting. They are often used to group several pieces of equipment under a single cost centre.
- You can group asset hours together by class in Insights.
- Assignar Pay also uses classes to group equipment time from several pieces of equipment under the same bid item in the job costing module.
Create and manage classes
- Go to Resources > Assets
- Click Manage Asset Classes in the top right of the Assets page.
- Add, rename or remove classes as needed, then save.
Add an asset
- Under Resources, go to the Assets page.
- Click Add New.
- Complete the required fields. The field descriptions are in the table below.
- Click Save.

| Suppliers | Links the asset to a supplier, for example: a rental company. |
| Tags | Groups similar equipment together so it is easy to find and schedule. |
| Tasks (Roles) | The type of work the asset can do when paired with an operator. |

Edit an asset
- Go to Resources > Assets.
- Click the asset name to open it in the side panel.
- Update the fields you need to change, then click Save.
To see the full asset record, including Comments, External IDs and Documents, click the expand icon in the top right of the side panel. See Manage your assets: overview for more on the asset detail page.
Archive an asset
Archive an asset when you sell it, return it to a hire company, or stop using it. Archiving does not delete anything: the asset keeps its documents, journal, forms and history, and you can restore it at any time.
- Go to Resources > Assets.
- Find the asset you want to archive.
- Click the (⋮) menu at the start of that asset's row.
- Select Archive.
The asset moves out of the Active list and into your archived assets.

Tip Archive rather than delete. Archiving keeps the asset's history intact for past timesheets, dockets and reports, and you can bring it back later. |
Find and unarchive an asset
- Go to Resources > Assets / Attachments.
- Click the Active dropdown at the top of the list and select Archived.
- Find the asset, then click the (⋮) menu at the start of its row.
- Select Unarchive.
The asset then returns to your Active list and can be scheduled again.
Things to know
- Archiving is not deleting. The asset's documents, journal entries, form results and audit trail all stay in Assignar.
- Archived assets are hidden from the Active list and from asset pickers when you schedule work, so they cannot be allocated to new shifts.
- Past shifts, timesheets, dockets and reports that already reference the asset are not changed.
- Check the asset is not allocated to any future shifts before you archive it. Reassign that work to another asset first.
- You can unarchive an asset at any time, and it goes straight back into the Active list.
- Asset attachments are archived the same way, from the Attachments tab on the Assets page.
- Asset classes are managed separately from assets. Removing a class does not archive the assets in it.
