Leave Management Overview and Setup

Assignar allows you to schedule work and track time, making it the natural place to track worker leave.

 

With Assignar leave management:

  • Use our standard leave types or setup your own custom leave types
    • i.e. Sick Time, Unpaid Leave, Paid Time Off, Holiday...
  • Workers submit leave requests from the mobile app
    • They select the leave type, the leave dates, and can enter custom hours for partial day leave
  • Supervisors receive an email when one of their employees has submitted a new leave request
    • This is an optional setting
  • Web App users approve or decline leave requests - with the option to leave a comment
    • Leave hours and dates can also be adjusted at this point
  • When approving a leave request, optionally create leave timesheets
    • These future dated timesheets can integrate into your payroll process
    • This is only available in the New App Experience - we are actively migrating customers to the new experience. Contact support (support@assignar.com) if you have any questions.
  • Workers get push notifications when their leave request has been approved/declined
  • The scheduler feature signals alerts so you don't accidentally schedule allocate them to a job when they are off
    • This means the leave management feature can also be used for rostering 
  • For paid holidays, bulk create leave from the web app with timesheets for your whole workforce in just a few clicks

 

Leave Types

Assignar includes 4 default Leave Types which can be modified. To modify the Leave Types, you must have "Manage Payroll" permission enabled in your profile settings (see Set Up a Dashboard User). To Manage Leave Types, navigate to Settings -> Payroll & Accounting and choose the Leave Types tab. You can create new Leave Types, edit existing or archive from this page. Archiving a Leave Type will not modify past requests but it will no longer be available for new Leave Requests. To un-archive a leave type, toggle between active and archived, choose the leave type and select un-archive.

Optionally, you can add a code to a leave type. This can be used for payroll purposes if you want the workers to select an intuitive leave type but payroll requires a less intuitive name/code. Leave request timesheets contain the leave type and the leave code, so you're not required to input a code.

 

 

Leave Management Settings

Mobile App Settings

By default, workers are able to submit leave requests from the mobile app. If you'd like to prevent them from submitting leave, then navigate to Settings -> View/Edit Settings and set "Leave Requests readonly" to Yes. Note, to change this setting you must have "Settings" permission enabled in your profile settings (see Set Up a Dashboard User).

 

Leave Request Standard Shift

If you use choose to create leave timesheets from leave requests, then a standard leave request will be 8 hours long. You can adjust this under Settings -> View/Edit Settings by changing the start and end time of the Leave Request Standard Shift about half way down the settings page.

 

 

Leave Management Permissions

By default, web app user can view and approve/decline all leave requests. You can disable specific web app users from accessing leave requests within their profile. To do this, navigate to the User Access tab of the Web App user profile, toggle off "Leave Requests" near the bottom of the page.

You can also configure a web app user to only process leave requests submitted from specific mobile app users. Open the user profile for the web app user, on the User Access tab scroll the the bottom and toggle on "Assigned Leave Requests Only". Then for each of the workers (mobile app users) that this dashboard user supervises, open up the worker profile, and at the bottom of the details in the "Leave Approver" field select the specific web app user. Now, the web app user will be able to approve/decline/cancel leave requests from those specific workers - they can see all leave requests but can only action those assigned to them. Additionally, the assigned web app user will receive an email when a designated worker submits a leave request.

 

 

Leave Management Notifications

Workers will get an in-app notification and an email when their leave request has been approved/declined/canceled.

 

Additionally, you can configure email notifications.

HR Email Address: You can enter multiple email addresses in the HR Email Address field on the View/Edit Settings page. The HR Email Address will receive an email for every new leave request.

Supervisor Email Address: If you designate a web app user as the leave approver for a field worker, the web app user will receive an email for every leave request submitted by that worker. Navigate to a worker profile on the web app, at the bottom of the details tab set the "Leave Approver" field to a specific web app user - now that web app user will get an email when the worker submits a leave request.
