Set Up a Dashboard User

Set up a new dashboard user account, configure their access permissions, and understand what each permission unlocks.

Before you start

You need Admin access or a dashboard user account with Add Users and User Access Management permissions.

You can only assign permissions that are currently active on your own profile.

Create the user account

  1. Go to Resources > Users > Dashboard tab
  2. Click + Add New User.
  3. Complete the required fields (First Name, Last Name, and Email). The email address is what the user logs in with.
  4. Click create.
    • A new user receives a verification email automatically once their account is created. Ask them to check their spam folder or add noreply@assignar.com to their contacts.

Once you click create, the user's profile opens with two tabs: Details for their personal information and Access for their permissions.

 

Set up access permissions

Permissions control which parts of Assignar a user can see and edit. You set them on the Access tab of the user's profile.

  1. Click on the Access tab, toggle on the permissions the user needs.
    Use Select All to grant everything at once, or turn on individual modules. Hover over the information icon next to a module to see what it unlocks.
  2. Click Save.

Note

A user cannot re-enable a permission that has been turned off for them. Only another user with User Access Management can do this.

  1. Once saved, the new user receives a verification email. They must verify their email and set a password before logging in.
    Dashboard users log in using their email address, and password (on first login they may be requested to provide their Client ID).

Permissions reference

Use this table to understand what each permission unlocks. Permissions are grouped into Grant Access (adds capabilities) and Restrict Access (limits an existing permission).

Project Management
View Dashboard Dashboard home screen: project map, today's summary, active orders, and Activity Feed.
Add Projects/Clients Manage clients, projects, and archived clients. Required by Timesheets and Site Diary to load project and client fields.
Add Tasks/Machines Manage assets, tasks, and task groups. Required by Orders, Timesheets, and Site Diary to load task and asset fields.
Documents Upload, view, edit, and delete documents attached to workers, assets, projects, and records.
Skills Competencies Full Compliance section: Skills, Competencies, Inductions, and Mobile Uploads.
Orders & Allocations
Orders Full Work Planning section: Scheduler, Orders, Timelines, and Archived and Incomplete Orders.
Order Import Adds Import Orders (CSV) under Settings. Also requires Data Import.
Invoices Outdated feature.
Chargeable Items Manage chargeable item types on orders and dockets. Required to download Site Diary PDFs.
Finance Management
Manage Payroll Weekly timesheets tab, Run Overtime Rules, and the Payroll & Accounting settings.
Charge rates Create and edit charge rates. Enables the Approved with Charge Rates statuses in the timesheet workflow.
Pay rates Create and edit pay rates on worker profiles. Enables pay rate approval statuses.
Resource Tracking
Timesheets and Dockets Full Field Data section: Timesheets, Dockets, Site Diary, Allowances, and Reports. Requires Add Projects/Clients and Add Tasks/Machines for fields to populate.
Suppliers Manage supplier records, documents, and journal entries.
View Asset Ranking View ranking scores on asset records. Requires Add Tasks/Machines.
Edit Asset Ranking View and edit ranking scores on asset records. Requires Add Tasks/Machines.
View Supplier Ranking View ranking scores on supplier records. Requires Suppliers.
Edit Supplier Ranking View and edit ranking scores on supplier records. Requires Suppliers.
User & Access Control
Add Users Manage workers, dashboard users, employment types, and deactivated users. Also enables Project Data > Contacts. Requires Suppliers.
User Access Management Enables the Access tab on a user's profile. Has no visible effect without Add Users.
Settings Configuration tabs including Integrations, Tags, Terminology, and Audit Trail. Sub-pages need their own permissions.
Manage API Access Create and manage API keys. Paid add-on. Only one user per account should have this enabled.
Communications
SMS Full SMS section: Inbox, Outbox, Compose, Contact Groups, Templates, and Reports.
Forms Form Results and Templates (the form builder), plus My Views and Manage Statuses.
Webhooks Webhook management. Contact support to enable this module.
Leave Requests View and action all leave requests across the organisation.
Reporting & Analytics
View Reports Adds the Reports sub-item to Work Planning. Also enables expiry notification badges in the header.
Edit Form Results Allows the user to edit submitted form results. 
Data Import Assisted Import and Legacy Import for workers, clients, assets, and more.
View Audit Trail Access the Audit Trail in Settings and the Audit Trail tab on individual records.
Premium Access
Insights Insights is a paid add-on. Use the Request Access button to request it for this user.
Restrict Access (layer on top of the permissions above)
Form Results Only Hides the Templates tab so the user sees submitted form results only. Requires Forms.
Read Only The user can only view the modules they have been granted, not edit them.
Disable tag actions Removes Tags from Settings and empties the Tags dropdown on all records. Existing values stay visible.
Assigned Leave Requests Only Limits the user to leave requests for workers assigned to them. Requires Leave Requests.

 

Common permission combinations

These are the minimum permissions needed for typical roles. Always start with View Dashboard.

Things to know

  • A user cannot re-enable their own permissions. Only another user with User Access Management can do this.
  • You can only assign permissions that are currently active on your own profile.
  • Changes only take effect after you click Save.
  • Add Projects/Clients and Add Tasks/Machines are silent dependencies. They unlock little on their own but are required by many other modules to load data correctly.
  • Restrict Access settings have no effect on their own. They must be combined with the relevant Grant Access permission.
  • Insights is a paid add-on. The Insights section is an account-level feature. Access is managed under Settings > Insights Licensing, not as a standard permission toggle.
  • The new user receives a verification email once their account is saved. Have them check their spam folder or add noreply@assignar.com to their contacts.
