Set Up Roles with Assets / Equipment

Tell Assignar which assets you typically use for a role (task), whether they are optional or mandatory, and which ones you would rather send out first. Assignar then recommends them when you schedule the role.

Before you start

The assets you want to add must already exist in Assignar. If one is missing, add the asset first.

How assets on a role work

There are two parts to it. First, you choose how strongly the role needs an asset, then you list the assets themselves.

Asset Requirement

The Asset Requirement setting on the role decides what Assignar does with the list:

Asset Requirement Description
No Assets needed The default. The role does not use assets, and nothing is recommended.
Assets needed for this Role  Assets on the list are recommended when you schedule a worker to this role. The scheduler suggests them, but nothing is enforced.
Assets required for this Role  As above, and a worker must add an asset to their timesheet before they can submit it. Useful for operator roles where the worker always has plant with them.

The asset list and its order

Under the requirement setting, you list the assets you would use for the role. The position of an asset in that list is its rank, so position 1 is your first preference.

If you set a requirement but leave the list empty, every asset in your account is treated as available for the role. Adding assets is what narrows it down to the plant you actually use.

You can work in two places. The side panel that slides out from the Roles (Tasks) list is quickest for adding assets, and the order you add them in becomes the ranking. 

The pop-out window gives you drag handles, so use that when you need to change an order you have already set. When you schedule the role, Assignar uses this list to recommend equipment. See Recommended Workers and Equipment

Add assets from the side panel

Add the assets in the order you want them ranked, because the order you add them in sets the ranking.

  1. Go to Resources > Roles (Tasks) and click the role. A panel opens on the right.
  2. Click the Assets tab. The number in brackets is how many assets are already on the role.
  3. Set Asset Requirement to either Assets needed for this Role (Task) or Assets required for this Role (Task).
  4. Click Add Assets to Role (Task) and select your first preference. Search by name or asset code if the list is long.
  5. Keep selecting assets in order of preference. Each one is added to the list underneath.
  6. To take an asset off the role, click the at the end of its row > Confirm
  7. Click Save at the bottom of the panel.

Change the ranking in the pop-out window

Use this when the assets are already on the role, and you want a different order.

  1. With the panel open, click the pop-out icon in the panel header to open the role in the full window.
  2. Click the Assets tab. Each asset now shows its rank number.
  3. Click and hold the drag handle () at the start of a row, drag the row up or down, then release it. The rank numbers update as the rows move.
  4. Click Save assets. A confirmation message tells you the assets have been saved.

 

You can also add assets in the pop-out window. Type into the Add more field, select as many assets as you like > click Add Asset(s) > Save assets.

 

Remove an asset from a role (task)

  • In the side panel, click the ✕ at the end of the asset's row > Confirm > Save
  • In the pop-out window, click the red remove button at the end of the row, then click Save assets. The remaining assets renumber to close the gap.

Things to know

  • In the side panel, the ranking follows the order you add assets in, so add your first preference first. If you get the order wrong, fix it with the drag handles in the pop-out window rather than removing and re-adding.
  • The side panel does not show rank numbers, and it does not necessarily list assets in rank order. Open the pop-out window if you want to check the ranking as it stands.
  • Assets required for this Role (Task) is the only setting that stops a worker submitting a timesheet without an asset. Assets needed for this Role (Task) only recommends.
  • Setting a requirement but leaving the list empty makes every asset in your account available to the role. That is rarely what you want.
  • A role uses either assets or skills, not both. In the pop-out window, this is the Asset required? and Skills required? choice on the left of the screen.
  • Saving assets in the pop-out window only saves the Assets tab. It is separate from the Save and Save & Close buttons at the bottom, which save the role's own details.
  • Removing an asset from a role does not archive the asset and does not change any work already scheduled.
  • Only assets that already exist in Assignar appear in the pickers. You cannot create a new asset from the role.
  • Assignar recommends these assets when you schedule the role, but it does not stop you choosing a different one. See Searching for Resources
  • Suppliers are ranked the same way on the neighbouring tab. See Rank suppliers for a role (task)
