Add a Role (Task)

Create a Role (Task), attach the workers, assets, skills and rates it needs, and manage it over time.

Before you start

Setting up a lot of roles at once? Import them alongside your Workers and Assets with Import Your Worker Roles (Tasks) → instead.

 

What is a Role (Task)?

A Role (Task) is the type of work a worker can perform, for example, Labourer or Excavation Level 2. You can attach the specific workers, assets and skills a role needs, so Assignar knows who and what is required and recommends them when you schedule a job.
 

Add a Role (Task)

  1. Go to Resources > Roles (Tasks).
  2. Click + Add New in the top right.
  3. Enter a Role (Task) name (required).
  4. Complete the relevant fields (see the table below).
  5. Click Save.

 

Role (Task) fields

The side panel that opens when you add or edit a role contains these fields:

Field What it does
Role (Task) name  (Required) The name of the role. Make it specific to your business, based on how you schedule and organise workers.
Workers On the Workers tab, search for and add the specific workers who can perform this role. The tab header shows how many workers are attached. See Set Up Roles with Workers.
Assets On the Assets tab, set the Asset Requirement level (see the next section) and add the specific assets this role uses. See Set Up Roles with Assets / Equipment.
Supervisor Tick this to let the worker assigned to this role add timesheets for everyone assigned to the related order for that day.
Skills Add skills so that only workers holding those skills are recommended when you schedule this role.
Role Forms Add forms so they become available to workers scheduled in this role. See Set Up Roles with Forms.
Docket Templates Add docket templates so they become available to workers scheduled in this role.
External ID The ID this role uses in your payroll or accounting system. Adding it here makes exporting and importing timesheet data easier.
Code The account code used to apply costs correctly in your ERP or bookkeeping tool. This field is labelled Account code in the expanded editor.

 

Set the Asset Requirement level

On the Assets tab, the Asset Requirement dropdown controls how strictly assets are enforced when this role is scheduled:

Option What it means
No Assets needed The default. No assets are required for this role.
Assets needed for this Role (Task) Assets are recommended but optional. Schedulers are prompted to add an asset but can continue without one.
Assets required for this Role (Task) A specific asset is mandatory. The role cannot be scheduled until an asset is added.

If you set the level to needed or required but do not pick any specific assets, all assets can be associated with the role.
 

Do more from the expanded editor

Click the expand (pop-out) icon at the top of the side panel to open the full Role (Task) editor. It repeats the same core fields and adds these tabs:

Tab What it does
Assets Add, remove and reorder the specific assets attached to the role, then click Save assets.
Suppliers Attach the suppliers that can provide this role, then click Save suppliers. This feeds supplier ranking when you schedule.
Charge rates Manage the Base and Other charge rate groups for the role. Add a new rate group or copy an existing one. See Set Up Charge Rates.
Pay rates Manage the Base and Other pay rate groups for the role. Add a new rate group or copy an existing one. See Set Up Pay Rates.
Audit trail A searchable log of every change made to the role: the module, who actioned it, their username and user type, a description, and the time.



The expanded editor also uses an Asset required? / Skills required? toggle: the option you choose determines whether assets or skills are available to associate with the role.
 

Deactivate and reactivate a Role (Task)

To retire a role you no longer use, open it in the side panel, click the () menu and select Deactivate Role (Task).

Deactivating hides the role from scheduling but keeps its history. To bring it back, change the list filter at the top of the Roles (Tasks) page from Active Roles (Tasks) to the deactivated view, open the role, and reactivate it. Deleting a role is not recommended.



 

Things to know

  • Workers and assets attached to a role are recommended, not locked in, when you schedule, as long as they are available.
  • With Assets required, you cannot schedule the role until an asset is added. With Assets needed, you are only prompted and can continue.
  • Skills added to a role drive scheduling recommendations only. You can also add skills directly to assets for more complex skill-based scheduling.
  • The Code field in the side panel and Account code in the expanded editor are the same accounting code.
  • Deactivating a role keeps its history and can be reversed. Deleting is not recommended.
