Site Diary Overview

A Site Diary is the document filled out by a supervisor at the end of a shift and is used to collect the following data from the field:

  • Timesheets
  • Progress 
  • Chargeable Items
  • Notes (including photos)
  • Additional Questions
  • Weather Conditions

The site diary is typically completed by the supervisor in the field via the mobile app, but dashboard users are able to create and edit them from the dashboard web app.

There are two methods for a supervisor to complete a Site Diary:

  1. Scheduled
    • When you allocate a worker to a supervisor role, they will have the option to create a Site Diary from within the allocation (they can also choose to just create a timesheet, the Site Diary is not mandatory).
    • When adding timesheets to the site diary, it will prompt the supervisor to create timesheets for all workers on the shift - but the supervisor can remove workers or add ones that weren't scheduled.
    • If an allocated worker has already submitted a timesheet, the site diary will pull that timesheet in. The supervisor is then able to make any adjustments.
    • Works with regular and Check-in / Check-out timesheets.

  2. Unscheduled 
    • If a supervisor isn't scheduled to a job, they can still create a Site Diary by clicking the + button at the bottom of the main screen.
    • The Supervisor must link the Site Diary to a Project. The order cannot be selected from the mobile, to link an unscheduled Site Diary to an order you must do this on the dashboard.

Site Diaries can be signed by the client onsite using the supervisor's mobile device - we plan to launch a remote sign off feature in late 2025.
