Set Up a Worker

Set up worker accounts to give your crew access to the Assignar Mobile App, where they can submit timesheets, complete forms, and view their assignments.

Before you start

  • You need Dashboard user access with the Workers module enabled.
  • To set up workers in bulk, use the Assisted Import instead of adding them one at a time.

1. Create a worker

  1. Go to Resources > Users and open the Workers tab.
  2. Click +Add new Worker.
  3. Complete the required fields:
    • User Type: select Worker
    • First Name
    • Last Name
    • Email (this is the address used to log in)
    • Toggle on Allow Mobile Access
  4. Click Create

Tips

  • Add the worker's phone number if you plan to send SMS messages.
  • Add the worker's address if you want to use the Worker Distance feature when scheduling.

2. Set worker permissions

Worker permissions control what data workers can see and interact with in the Assignar Mobile App. After saving a new worker, the following tabs populate: Details, Availability, Access, Qualifications

  1. Go to the Access tab
  2. Review and update the fields below as needed.
  3. Click Save
Setting What it controls
Team tags The worker will only see other workers with this tag in the Assignar Mobile App. Use with caution for supervisory roles: adding a team tag exposes other workers' details, qualifications, assignments, timesheets, and form results to this user.
Asset tags The worker will only see equipment (assets) with this tag in the Assignar Mobile App.
Document tags The worker will only see documents with this tag in the Assignar Mobile App.
Order Search When enabled, the worker can search for orders in the Assignar Mobile App.
Contact Search When enabled, the worker can search for contacts in the Assignar Mobile App.
Create Orders When enabled, the worker can create orders in the Assignar Mobile App. Typically used for supervisors. See the Mobile Scheduling guide for more detail.

3. Worker login

Once set up, the worker receives a verification email at the address listed on their account. Ask workers to add noreply@assignar.com to their contacts to ensure delivery.

After verifying their email and setting a password, the worker can log in to the Assignar Mobile App using their Client ID, email address, and password.

Forgotten password

Workers can reset their password at any time by tapping Forgot your password? on the login screen.

 

Additional information

On the Workers tab, click the three-dot menu next to a worker to open more options.

Option What it opens
Edit The worker's profile, where you can update their details and access.
Deactivate Deactivates the worker so they can no longer log in. See Archive / Unarchive a User for detail.
Journal Entries Notes recorded against the worker, showing who added them and when. Use Add New to add a note.
Pay Rates The worker's pay rate groups and pay codes.
Qualifications The worker's Competencies, Skills, and Inductions, including expiry and issue dates.
Allocations The orders and shifts the worker is allocated to. Filter by date range and export.
Charts Charts of the worker's hours, such as hours per task, over a date range.
Form Results Opens the Forms module in a new browser tab.
Audit Trail Opens the Audit Trail module in a new browser tab.

 

Things to know

  • Team tags are best suited for supervisors. Adding a team tag to a standard worker exposes personal information about every tagged worker to that user.
  • A worker must have Allow Mobile Access toggled on to log in to the Assignar Mobile App. Without it, they can only access their profile.
  • If a worker uses the same email address for both a Dashboard User account and a Worker account, they can log in to both with the same credentials.
  • To add multiple workers at once, use the Assisted Import
