Assign Workers and Assets to Orders and Shifts

Assign workers and assets to the shifts on an order from the Scheduler. You can drag resources straight onto a shift, copy an allocation to reuse it, and bulk-allocate or update many shifts at once.

Before you start

You need an order with shifts already set up. To create one first, read Create an order.

Do this from the Timeline view in Scheduler. Go to Work Planning > Scheduler, then select the Timeline tab.

Ways to allocate

  • Drag a worker or asset onto a shift. The everyday way, and easiest in the 1 Week view.
  • Use copy from previous shifts onto other shifts to reuse the same crew and equipment.
  • Bulk-allocate or update many shifts at once, up to 6 Months.

Assign workers and assets to a shift

In the 1 Week view, each day shows a cell for every role. Drag the workers and assets you need straight onto those cells.

  1. Go to Work Planning > Scheduler, open the Timeline tab, and set the date range to 1 Week.
  2. In the Resources panel on the right, choose the Workers or Assets tab. Suitable resources appear first under Recommended.
  3. Drag a resource onto a day cell for the role you want to fill . Empty cells show a Drag resource here drop zone (if a role is highlighted you can only drag into the highlighted section).
    Note: To do multiple days at once: 
     - Hold Cmd (Mac) or Ctrl (Windows) and click on specific days to highlight. 
     - Hold Shift for a run, click the first and last day to highlight.
  4. A green confirmation appears (Successfully allocated resources to task, then the role name), and the cell shows a badge with workers allocated / needed plus assets.

 

Assign a worker with a specific asset: on the Assets tab, click the blue > next to the asset, then drag one of the recommended workers onto the cell. The asset is allocated with them.
 

Edit or remove one allocation: hover over the resource in the cell and use the edit or remove icon.
 

Tip 

One role at a time: if you already have shifts selected and start selecting a different role, Assignar asks “Clear previous selection?” Choose Clear Previous to switch, or Cancel to keep your current selection.

 

Copy an allocation to reuse it

If several shifts need the same workers and assets, copy one allocation and drag it onto the others. Copies are held in the Copies tab of the Resources panel.

  1. On the role card that already has the resources you want, click the copy icon in the card header. A green confirmation appears (Successfully Copied Resources for Role), and the set lands in the Copies tab.
  2. Open the Copies tab. Each copy is grouped by role and lists its workers and assets. Search by name if you have many.

    Remove a copy with the X.
     
  3. Drag a copy onto the shift or shifts you want to fill. Every worker and asset in it is allocated together.

     

Bulk allocate and update (2 weeks to 6 months)

  1. At the top of Scheduler, change the date range to 2 Weeks, 1 Month, 3 Months, or 6 Months.
  2. Select the shifts you want:
    - Hold Cmd (Mac) or Ctrl (Windows) and click on specific days to highlight. 
    - Hold Shift for a run, click the first and last day to highlight

  3. Bulk-allocate: with the shifts selected, drag a worker, asset, or copy on once to fill all of them together.

Tip for small screens

In the 6 Months view the cells are tiny and dragging a resource on can be fiddly. Select your shifts in 6 Months view, then switch to 3 Months view to drag the resource on.

  1. See and update single shifts: click Show Details to open the Details and Allocations panel. Set a status for each resource, or tick resources and use Remove.

  2. Bulk-remove: select shifts you want to remove allocations, click Remove Resources at the bottom of the screen, tick the workers and assets to take off (grouped by role), then click Remove.

     

Things to know

  • Recommended resources show first on the Workers and Assets tabs.
  • The allocation badge shows where a shift stands: warning icon flags a mismatch, such as double allocated or missing competencies required. Just click on the icon to find out more.
  • Copies stay in the Copies tab until you remove them, so you can reuse the same crew and equipment across many shifts.
  • You can also allocate from the Cards view, which uses the same drag-and-drop laid out as a card per day.
